Taskboards

LeanKit's step-by-step guide on how to manage tasks using taskboards within cards.  

LeanKit lets you create tasks within cards so that you can track the more granular details related to each work item. You can also quickly track progress toward completion of the entire card, the proportion of tasks completed versus total tasks, within the card.

Taskboards function much like mini boards within cards. Each taskboard contains its own taskcards.

Taskcards can be any card type that exists on the parent board, and they can be moved through three, pre-determined lanes: To-Do, Doing, and Done.

Just like any other LeanKit board, you can create new taskcards, move them between lanes to update their status, and assign taskcards to specific users.

 

Accessing Tasks

 

To access a card's tasks, click the card to open Card Details, then click Tasks to go to the Tasks tab.

 

 

Adding Tasks

 

Click New Card to create a task card.

 

Editing Tasks

 

You can add or modify many of the same details for a taskcard as you can a normal card in LeanKit, including: Title, Description, Type, Size, Tags, Card ID, Priority, Blocked/Unblocked, Card Type, Start/Finish Dates, and External Link.

Just like normal LeanKit cards, you can assign users to taskcards as well as post comments, upload attachments, and view the complete card history.  

 

Filtering Task Cards

 

You can filter taskcards by card type. This is a great way to focus on and highlight different types of work, or different projects being worked on within a single taskboard. Filters are especially helpful on taskboards with many cards.

To filter the cards on a taskboard click Filter Tasks in the upper-right of the taskboard to open the dropdown filter menu.

The taskboard only displays taskcards of the categories that are checked in the Filter Tasks drop-down menu.

 

Configuring Task Types

 

Just like cards, taskcards have types.

Task types for a board are available in the Board Settings window (opened by clicking the gear icon in the upper right when viewing the board) on the Card Types tab.

 

Moving Cards On and Off Taskboards

 

You can move one or many cards on and off a taskboard.

To move cards onto a taskboard, select one or many cards with Multi-Select. Once you’ve made your selection, right-click and select Move to > Taskboard

Next, your cursor will change to a target:

Click the destination card where you’d like to move those cards.

The new cards will automatically be moved into the To Do lane of the taskboard on the card you have selected. If no taskboard exists, LeanKit creates one.

To move cards off an existing taskboard, follow the same steps. Select all the cards you’d like to move from a taskboard. Then right-click and select Move to > Parent Board.

This will move all selected cards onto the parent LeanKit board into the same lane as the parent card.

 

Subscribe to Task board Events

 

You can click the envelope icon in the upper-right of the taskboard to receive email notifications for events on this taskboard, including when taskcards are created, moved, assigned, etc...

 

See How Many Tasks are Done

 

On the face of a card with tasks, you will see the proportion of tasks which are in the taskboard's Done lane. For example, “3 of 10” would indicate that there are 10 tasks on this card's taskboard, and three of them are done. If you hover over the indicator, you will also see that expressed as a percentage.

When making the Percent/Proportion Complete calculation, taskcard ‘size' is taken into account, so you can grant more weight to certain cards more than others. In the previous example, if we added a single taskcard with a size of 5, the progress bar would change to reflect “3 of 15” complete.
